Our Client Saved 90% Cost in Doctor Registration Verification Using RPA

Business Context

Pharma companies have a growing need to validate the registration numbers of the doctors on their list since this will ensure that they are carrying legitimate doctors to whom they detail their products. This is a discipline that will enhance their compliance.

For this, they need to verify the registration number matched with the name, with the records carried in the National Medical Commission portal. The portal carries the “Indian Medical Registry” that has the official name and registration number of the doctor.

Challenges with Manual Process

Our client, a large Pharma company, has a customer base of 3 lakh doctors on their list. They initially started validating the registration number manually. They would access the site, key in the registration number and doctor name, search, and then update the source as valid or invalid.

There were a few challenges that the Pharma Company was facing, and the same had to be addressed. The challenges faced were:

• -The time taken to manually key in the data and search for each record was high.
• -Considering the sheer volume of data to be validated, the number of resources required was high.
• -The resources had limitations on the amount of time that they could work in a day.

Considering it is a repetitive task, it became quite tedious for the team to handle. Each of the above had to be handled by our team with great support from the client for a successful rollout. Our RPA Solution could solve these challenges.

Our Solution

To mitigate the challenges, we implemented Robotic Process Automation using UiPath.

The steps being followed manually were fully automated. The steps involved were:

1. -Reading source data
2. -Launching the National Medical Commission site and the Indian Medical Registry
3. -Keying in the registration number and doctor name
4. -Clicking on the submit button
5. -Extracting relevant data
6. -Extracting data and storing it into an output Excel file
7. -When output is not found, updating the record as “Invalid”
